Inventory and authorization
List material categories, quantities, and condition. Mark data-bearing equipment, restricted products, and items that require special acceptance. Identify the person who can approve release and confirm that retained items are excluded. Photos of the general stock and packaging can help with planning; keep sensitive contents out of them.
Site access and packing
Provide the address, floor, loading dock, parking restrictions, lift access, and contact details. Describe whether materials are loose, boxed, or palletized. Agree packing and lifting responsibilities before the collection. Ask for handling guidance for unusual or damaged items rather than preparing them by assumption.
Timing and handover
Share your preferred dates and any fixed move or clearance deadline. Confirm the collection window only after scope and receiving arrangements are accepted. Have the release contact available and agree how counts, seals, identifiers, and exceptions will be checked at handover.
Evidence and follow-up
State whether you need asset records, batch reconciliation, destruction certificates, photos, or a recovery summary. Agree the reporting reference and recipient. Keep the pickup record available for comparison with the final closeout, and nominate someone to follow up on any pending outcomes.
